Responding to reviews effectively not only enhances trust but also improves your brand’s visibility in Google search results. ProManage offers multiple ways to reply to reviews-ranging from AI-driven automation to manual responses-ensuring flexibility and scalability.

Available Methods to Respond to Reviews


1. AI-Based Automation

  1. Automatically generates intelligent responses tailored to the sentiment and content of the review.
  2. Saves time while maintaining personalized engagement.
  3. Best suited for businesses handling high volumes of reviews.


2. Template-Based Automation

  1. Use predefined templates to respond to reviews consistently and efficiently.
  2. Click on “Use Template” beside the desired template and submit the reply.
  3. Tokens (e.g., {BusinessName}, {Location}) can be inserted into templates for personalization.

3. Manual AI

  1. AI generates suggested replies, which can be reviewed and edited before submission.
  2. Balances automation speed with human oversight.
  3. Requires CSM enablement for activation.

4. Manual Response

  1. Craft a custom reply directly within the “Send Reply” text field.
  2. Optionally, add tokens for dynamic business details.
  3. Recommended for unique or sensitive reviews where personalization is critical.

5. Bulk Reply

  1. Allows responding to multiple reviews at once.
  2. Ideal for handling similar reviews in large volumes (e.g., campaign feedback or repeat customer mentions).

Using Tokens in Responses

  1. Tokens allow you to insert dynamic business information into responses (e.g., Business Name, Location, Service).
  2. Tokens can be added to both templates and manual responses.
  3. Once inserted into the reply field, tokens automatically fetch and display the relevant business details.

  1. Rule-Based Automation and Manual AI require activation. Please contact your Customer Success Manager (CSM) for setup.
